Getting Started 8 questions

Archivault is a project management platform built specifically for architecture and interior design studios. It replaces scattered WhatsApp threads, email chains, and spreadsheets with a single system for managing rooms, materials, designs, budgets, and client approvals.
It is for architects, interior designers, and their teams who manage any kind of project and need a structured way to collaborate with clients.
No. Archivault is fully browser-based. Open it on any device, any browser - no installation required.
Yes. You can get started without a credit card. Sign up and begin using the platform immediately.
Your data remains in the system. You can export materials via CSV and designs/documents are stored in your account until deleted.
Yes. The interface is responsive and works on mobile browsers, though the desktop experience is richer for managing projects with many materials and designs.
All modern browsers - Chrome, Safari, Firefox, Edge. Chrome is recommended for the best experience.
Yes. Authentication is handled by Clerk (industry-standard auth provider), file storage by Supabase with private buckets and signed URLs, and all connections are encrypted over HTTPS.

Account & Organization 9 questions

Your organization is your studio's account. Every project, client, team member, and vendor lives inside it. You create one organization when you first sign up.
Currently one organization per login. If you work across multiple studios, you would need separate accounts.
From your account settings or the Clerk organization management panel accessible via your profile.
Contact support. Organization deletion removes all projects, files, and data permanently.
Two roles: Architect / Team Member (full access) and Client (read-only portal access).
No. A user has one role. If a person needs both client visibility and team access, create two separate accounts.
Yes, from the Team management page you can update member roles.
No hard limit is enforced in the product. Your plan may have seat restrictions - check your subscription.
No limit. You can invite a client per project or reuse the same client account across multiple projects.

Team Members 6 questions

Everything an admin can do - create projects, add rooms, upload designs, add materials, log site visits, manage milestones, invite clients, and request sign-offs.
They cannot delete the organization or manage billing. Only the organization owner handles that.
Sidebar → Team → Invite Member → enter their email → set role to Architect / Team Member → Send Invite.
Ask them to check spam/junk folders. You can resend the invite from the Team page.
Yes. Team members have visibility across all projects in the organization.
Yes, from the Team page you can remove members. They immediately lose access.

Client Accounts 9 questions

View their project dashboard, review and approve or request revisions on materials and designs, see the timeline, read site visit logs, view the mood board, use the chat, and formally sign off on the project.
Clients cannot add, edit, or delete any content. They cannot see other clients' projects. They cannot see financial breakdowns beyond their own budget summary.
No. They log in at the same URL as you and are automatically routed to the Client Portal.
You need to assign them to the project. Joining the organization alone doesn't give project access. Go to the project → Overview → Assign Client → select their name.
Yes. If they have multiple projects, they see a project selection screen when they log in.
Currently one client is assigned per project via the client_id field. If you need multiple stakeholders, invite them all and consider the primary decision-maker as the assigned client.
They use the same Archivault URL. After accepting the invite and creating an account, they are routed to the Client Portal automatically.
You can navigate directly to /portal/[projectId]/dashboard to see the client view while logged in as an admin.

Projects 10 questions

Dashboard → New Project → fill in the project name, type, budget, and optionally assign a client → Create Project.
Only Organization Admins (Architect / Team Member role). Clients cannot create projects.

Yes, from the project Overview tab or settings.
Yes, from the project Overview page using the Delete Project option. This permanently deletes all rooms, materials, designs, and files. This cannot be undone.
No limit enforced in the product.
Not currently. You would need to create a new project and add rooms/materials manually.
A display name for the client shown throughout the project - e.g. "Mr. & Mrs. Sharma". It is auto-populated from the assigned client's name but can be customised.
You can set it to Active, On Hold, Completed, or Cancelled from the Overview tab. It is a visual label for your own tracking - it does not restrict any functionality.
In the Overview tab, under Timeline & Phase. You can set a Start Date, Target Date, and the current project Phase.

Floors & Rooms 8 questions

No. Floors are optional. If your project is a single-storey space, you can skip floors and just create rooms directly.
A floor is a level (Ground Floor, First Floor). A room is a space within a floor (Kitchen, Master Bedroom). Rooms hold all the materials and designs.
On the Rooms page, each floor section has an "Add Room to this Floor" button. Rooms added this way are associated with that floor.
Yes, from the room's edit dialog you can reassign it to a different floor.
Yes, click the edit (pencil) icon next to any room name.
Yes. Deleting a room also deletes all materials and designs associated with it. This cannot be undone.
Floor area in sq ft, ceiling height in ft, and freeform notes (orientation, existing conditions, special requirements).

Materials 13 questions

Any product, finish, fixture, or specification you are including in the project - tiles, paint, lighting, furniture, plumbing fittings, etc. Each material has a name, category, brand, vendor, estimated cost, and status.
Flooring, Wall Finishes, Ceiling, Doors & Windows, Lighting, Electrical, Plumbing Fixtures, Kitchen Fittings, Furniture, Soft Furnishings, Hardware & Accessories, Landscaping, Structural, Other.
Materials start as Pending (awaiting client review). The client can Approve them (cost is added to approved spend) or request Revision (you update and resubmit). You can also manually set status from the admin dashboard.
The material's estimated cost is added to the Approved Spend total, which is tracked against the total project budget in real time.
The client has reviewed the material and asked for a change - a different brand, colour, or specification. Their reason is saved and visible to you in the materials table.
Yes. In the Materials table, click Approve next to any Pending material. Use this only if the client has verbally approved and you are recording it in the system.
Yes. When adding a material, you can attach a reference image (JPEG, PNG, WebP, GIF, max 10 MB). You can also upload or change it later by clicking the image thumbnail in the materials table.
Both. You can type a vendor's name or paste a full URL. If a URL is detected, it renders as a clickable link in the materials table.
Yes. The materials table has a search bar, a category filter dropdown, and a status filter dropdown. You can combine all three.
Yes. Click the three-dot menu (⋯) on any material row → Edit Details.
Yes. Three-dot menu → Delete Material. Deleted materials are removed from all budget calculations.
When you upload a new version of a design that had a Pending version, the old version is automatically marked Superseded. This status does not apply to materials.
Yes. From the Materials page, click Export PDF (opens a print-ready material schedule) or from the BOQ page click Export CSV for a spreadsheet.

Designs 9 questions

Images (JPEG, PNG, WebP, GIF) and PDF files. Maximum file size is 20 MB per upload.
Every time you upload a new file to the same design (e.g. an updated floor plan), it creates a new version. The version number increments automatically (v1, v2, v3...). Clients always see the latest version.
Yes. Previous versions are archived and accessible from the design card's History sheet. They are never deleted unless you delete the entire design.
Open the design card → click Upload New Version → upload the new file with change notes. The previous Pending version is automatically marked Superseded and the new version goes to the client for re-review.
Yes. Click Create Folder on the Designs page and name it (e.g. "Structural", "Phase 1", "3D Renders"). Designs can be moved into folders by hovering over a design card and clicking the folder icon.
Yes. PDFs open in an embedded viewer inside the portal. The client can also download them.
The client can view full-screen and standard browser right-click/save applies. There is no dedicated download button for images.
The design version has been uploaded and is awaiting client review. Once the client approves or requests revision, the status updates.
Yes, but only Organization Admins can delete designs. Click the trash icon on the design card. All versions and storage files are permanently deleted.

Budget & BOQ 8 questions

The Total Budget you set when creating the project is compared against Approved Spend (sum of all materials with Approved status). The difference is the Remaining Budget.
The dashboard shows pending item count separately. Only Approved materials count toward spent budget. Rejected materials are excluded entirely.
Bill of Quantities. An auto-generated room-by-room breakdown of all non-rejected materials with their costs. Found under the BOQ tab inside a project.
Yes - Export CSV gives a spreadsheet, and Print/Export PDF opens a print-ready document.
The Export page (separate from BOQ) shows all items with their status. For approved-only, use the CSV export and filter in Excel/Sheets.
The approved spend updates immediately to reflect the new cost.
No. Archivault tracks material costs only. Labour, fees, and taxes are outside the scope of the current budget tracker.
Amber at 75% used, Red at 90%+ used.

Client Portal 10 questions

The same URL as the main app. Archivault detects their role and routes them to the Client Portal automatically.
The Action Center is where clients review and act on pending materials and designs. It has two tabs - Design Approvals and Material Approvals.
In Action Center → Material Approvals → click Approve on the card. The material's cost is immediately added to the project's approved spend.
Click Revise on the material or design card → type their reason in the dialog → Submit. The reason is saved and visible to the architect in the materials/designs table.
Once the architect resubmits the material or uploads a new design version, it returns to Pending and the client can approve it.
Yes. The client dashboard shows the total budget, approved spend, percentage used, and remaining budget.
Yes - on the material approval cards and on the sign-off summary.
No. Clients have read-only access to all content.
Project progress ring (milestone completion %), budget bar, next action banner, quick navigation links, recent activity log, and recent site visits.
Yes, via the Rooms section of the portal.

Sign-off 8 questions

A formal digital acknowledgement by the client confirming they have reviewed and accepted all approved materials and designs. It records the client's full name and a timestamp.
At the end of the design phase, or at any agreed project milestone. There must be at least one approved material or design before requesting.
Yes, but it is not recommended. The sign-off covers all currently approved items at the time of signing.
A full summary of approved materials (with costs) and approved designs, a note from the architect, and a field to type their full name to formally sign.
It is a digital acknowledgement with a name and timestamp. Consult your legal advisor on whether it meets the contractual requirements for your engagement.
No. Once signed, the status is permanently Signed. Contact support if you need to reset it.
Yes. After signing, the architect's sign-off page shows a View / Download PDF button that opens the full sign-off document.
The newly added materials will not be covered by the existing sign-off. You would need to request a new sign-off after those items are approved to cover them.

Timeline & Milestones 5 questions

A phase or checkpoint in the project - Design, Procurement, Execution, Handover, etc. Milestones have a title, optional description, and optional target date.
From the Timeline tab, click the checkmark or toggle on any milestone to mark it complete. It records the completion date automatically.
The progress ring on the client dashboard updates in real time to reflect the percentage of completed milestones.
Milestones are ordered by their creation sequence. You can edit the sort order from the timeline view.
Yes, from the timeline view using the delete icon.

Site Visits 4 questions

A record of a physical visit to the project site - date, title, observations, and who attended. It creates a permanent audit trail visible to both the team and the client.
You can upload progress photos under the Progress tab. Site visit logs currently record text and attendees only.
No. Only team members can log site visits.
No limit. Add names or roles one by one.

Mood Board 3 questions

A visual inspiration board for the project. You can pin reference images, colour swatches, and inspiration for the client to browse.
Only team members. Clients can view it but not add or remove items.

Chat 4 questions

An in-app messaging thread between the design team and the client, scoped to the project. Replaces the need for WhatsApp or email for project-related communication.
Yes, using the attachment button in the chat panel. Files are stored securely.
Yes. Chat history is preserved and visible to all project participants for the life of the project.
In-app notifications appear via the notification bell (top right of the dashboard). External notifications depend on your notification settings.

Notifications 3 questions

Client approvals, revision requests, and other project actions send notifications to the organization team. Notifications appear in the bell icon in the top navigation bar.
Click the notification bell → Mark All as Read. Individual notifications can also be marked read by clicking them.
Email notifications depend on your Clerk account settings and any email integrations configured. In-app notifications are always active.

Trades Portal 4 questions

A separate portal for contractors and tradespeople (plumbers, electricians, carpenters, etc.). They log in separately, see only the tasks assigned to them, and update task status.
The Client Portal is for homeowners/clients to approve materials and designs. The Trades Portal is for on-site contractors to view and update their assigned tasks.
Sidebar → Trades → Add Trade → enter their name, trade type, and credentials. They receive login credentials to access the Trades Portal.
No. They only see the tasks assigned to them.

Vendors 4 questions

A shared address book of suppliers and vendors for your organization. Add them once and reference them across all projects.
Name, category, contact person, phone, email, website, and notes.
No. It is an internal tool for the design team only.
Yes. It is organization-wide, not project-specific.

Files & Storage 5 questions

All files (design drawings, material images, documents, progress photos) are stored in Supabase private storage buckets. They are not publicly accessible - all access is via signed, time-limited URLs.
Signed URLs generated for viewing are valid for 24 hours. After that, refreshing the page generates new valid URLs automatically.
Material images: 10 MB max. Design files (images and PDFs): 20 MB max. Documents and progress photos follow similar limits.
Not currently. Supported formats are images (JPEG, PNG, WebP, GIF) and PDFs.
Yes. Deleting a material removes its image. Deleting a design removes all versions and their files from storage.

Export & Printing 4 questions

Materials as a CSV spreadsheet, the full material schedule as a printable PDF (via the Export tab), and the Bill of Quantities as a print or PDF.
Inside a project → Materials tab → Export PDF button → opens a print-ready page → use browser print (Ctrl+P / Cmd+P) → Save as PDF.
The print export page shows all material data in table format. The full material schedule with images would need to be compiled separately.
Designs are individual files - download them directly from the design card by opening the full-screen view. Bulk export is not currently available.

Troubleshooting 10 questions

This was a known bug and has been fixed. If you still see broken images, hard refresh the page (Ctrl+Shift+R / Cmd+Shift+R).
Ensure they are logged into the correct account (the email they used to accept the invite) and that the assignment was saved. Go to project → Overview → Assign Client to verify.
Refresh the page. Budget calculations update server-side after approval - a hard refresh (Ctrl+Shift+R) will pull the latest figures.
Only Organization Admins can create projects. If you're a team member with a different role, contact your organization owner.
Clients should not be directed to /projects/... URLs - those are admin routes. The client accesses the sign-off from their portal under the Sign-off tab.
This can happen if the design has no uploaded versions. Designs with zero versions are hidden from the grid. Upload a file to make it appear.
The Vendor column in the BOQ reads the vendor text field directly. If you left the vendor field blank when adding materials, it shows "-". Edit the material and add a vendor name.
They need to have accepted the invite and completed sign-up first. Once they have an active account, they will appear in the dropdown.
No. Archivault requires an internet connection for all features.
Ensure you are logged in as a team member or admin, not as a client. Clients can approve via the portal only.
